GENERAL DUTIES OF ALL DIRECTORS
All Directors will be expected to perform the following duties in addition to the specific duties identified for each position.
- inform any player, coach, manager, or any other person associated with BGHC activities of any observed infraction of any Hockey Canada, OWHA, BGHC, or affiliated league rule, ensuring first that a second Board member is made aware and concurs – two deep rule in all dealings
- Adhere to the BGHC Volunteer Code of Conduct, as outlined in the BGHC Policies
- Keep the President informed of all developments and situations within the organization; and,any other duties as assigned by the President and/or Board of Directors.
PRESIDENT ROLE
The President shall have the general duties set out in Constitution By-Law#2, Schedule A. In addition, the President shall be generally responsible for the overall operation of the BGHC and Board of Directors within all application By-Laws and Operating Policies and shall oversee all Board members in the carrying out of their duties.
The President shall be familiar with the responsibilities of, supervise and direct the following non-board positions in their responsibilities, ensuring deadlines are met and key deliverables are being addressed in a timely manner:
a. Registrar
b. Webmaster
c. Social Media Coordinator.
VICE PRESIDENT ROLE
The Vice President shall have the following responsibilities and duties:
1. Report to the President in all matters brought to his/her attention and consult with same prior to handling/managing any issues – a two-deep approach to all issues is mandatory
2. Assist the President and assume the duties of President in his/her absence;
3. Be familiar with the responsibilities of, supervise and direct the following Directors in their responsibilities, ensuring deadlines are met and key deliverables are being addressed in a timely manner:
a. Directors of House League,
b. Directors of Competitive Teams.
c. Head Trainer.
d. Treasurer;
4. Be familiar with the responsibilities of, supervise and direct the following non-board positions in their responsibilities, ensuring deadlines are met and key deliverables are being addressed in a timely manner:
a. Referee-in-Chief,
b. Equipment Coordinator;
5. Keep the President informed, on request, of the status of any deliverables;
6. Any other duties as assigned by the President and/or the Board of Directors and/or as described in BGHC policy and/or the BGHC Constitution.
DIRECTORS OF HOUSE LEAGUE – 2 Positions
The Directors of House League Operations shall have the following responsibilities and duties:
1. Direct all operations for house league teams;
2. Ensure that all house league team managers are aware of OWHA and BGHC policy for necessary documentation for team staff, including:
a. Coaching certificates,
b. Trainers’ certificates,
c. Speak Out/Respect-In-Sport certificates, and
d. Police Checks;
3. Act as the primary Board of Directors contact for house league teams;
4. Oversee the interview and selection process for all coaches and the assignment/ reassignment of players to house league teams; and;
5. Coordinate the activities of coaches, managers, players and convenors for house league teams;
6. Communicate with coaches, parents and players with regard to BGHC policies and procedures.
DIRECTORS OF COMPETITIVE TEAMS ROLE – 2 positions
The Directors of Competitive Teams shall have the following responsibilities and duties:
1. Report to the Vice President in all matters brought to their attention and consult with same prior to handling/managing any issues – a two-deep approach to all issues is mandatory;
2. Ensure that all competitive team managers and coaches are aware of OWHA and BGHC policy for volunteer screening and direct team managers to the Association Registrar for tracking and submission of same and reimbursement of costs, including
a. Coaching certificates,
b. Trainers’ certificates,
c. Speak Out/Respect-In-Sport certificates, and
d. Police Checks;
3. Act as a resource (in consultation with the Vice President and/or President) for competitive teams in dealing with issues that may arise from time-to-time;
4. Act as the primary contact between the BGHC and the Ontario Women’s Hockey League – Southern Division (“OWHL”) in which BGHC U11 through U18 teams participate;
5. Pass on any communications from the OWHL to the competitive teams, if relevant, in a timely manner and with proper direction and clarification as required;
6. Provide input to the selection committees during the coach selection process each year, based on attendance and observation at practices and games over the course of the season to that time;
7. Provide input to the Board with respect to any requested assignment / reassignment of players to competitive teams after consultation with the coaches and families involved;
8. Be the primary Board member responsible to co-ordinate the activities of coaches, managers, and players for competitive teams with regards to tryouts including:
a. working with the BGHC Ice Scheduler to develop an appropriate schedule,
b. ensuring all coaches are aware of all BGHC policies related to team composition,
c. ensuring all coaches are aware of tampering rules and best practices related to recruitment of players,
d. holding a pre-tryout meeting with coaches to convey standard tryout procedures,
e. provide coaches with recommendations for handling offers to players,
f. ensure all coaches have arranged for appropriate on-ice assistance during tryouts and have arranged tryouts in
the best interests of safety of the players,
g. work with the Vice President to ensure that appropriate independent selection committees are in place,
9. Manage parent enquiries regarding the Rep Program throughout the season, adhering where necessary, to all BGHC policies, specifically the BGHC Misconduct and Discipline Policy to ensure issues are being handled at the appropriate level within the BGHC;
10. Any other duties as assigned by the President and/or the Board of Directors and/or as described in BGHC policy and/or the BGHC Constitution.
HEAD TRAINER
The Head Trainer shall have the following responsibilities and duties:
1. Co-ordinate communication of BGHC Concussion protocol to all members and ensure compliance with pre-season education in this regard. Be the main resource for questions and collection of concussion documentation from all teams;
2. Work with trainers to ensure return-to-play protocols are followed for injured players;
3. Be a general resource for trainers in terms of overall player safety and adherence to the Safety Requires Teamwork trainer program;
4. Assist trainers to complete Hockey Canada injury reports as needed;
5. Oversee distribution and collection of trainer bags to House League teams;
6. Manage all applicable health & safety protocols;
7. Any other duties as assigned by the President and/or the Board of Directors and/or as described in BGHC policy and/or the BGHC Constitution.
